A website connected to WhatsApp and online booking needs more than two buttons. It should explain the service, preserve the context of an enquiry and make the next step clear. You can begin with manual replies and connect a booking system later, provided every request has an owner and an understandable status.

For a salon, a consultancy or another service business, the gap often appears after a useful website visit. Someone opens WhatsApp, has to explain everything again and leaves unsure whether their preferred time is reserved. The website and the team handling enquiries need to solve that transition together.

This guide covers the workflow, the difference between a contact link and an integration, and the evidence you need before buying more traffic.

How to connect your website, WhatsApp and booking

Start with an operational question: who can actually confirm availability? The answer determines whether your site should open a conversation or consult a calendar. Displaying time slots does not establish that they are synchronised with your team's working schedule.

A connected journey

Each step passes on context

  1. 01

    Understand

The service page explains the offer and next step.

  2. 02

    Ask

A conversation starts with the service in context.

  3. 03

    Request

Availability is checked and a request is recorded.

  4. 04

    Confirm

The team or connected system verifies the conditions.

Illustrative workflow. A request remains pending until the agreed confirmation step.

1. Explain the service before asking for details

A service page should explain who the service is for, what it includes, any preparation and where it takes place. Support it with work you can show, a clear process and authentic reviews in context. Your company's mission and vision introduce the business; practical service information helps a visitor decide what to do.

Match the button label to the action. Use “Check availability” when a person will review the diary, or “Request an assessment” when the service needs one first. Keep “Confirm appointment” for the point at which the workflow can confirm it.

2. Give the WhatsApp conversation a useful starting point

A contact link can prepare a message naming the service, such as “Hello, I visited your colour service page and would like to check availability.” The visitor can change the text before sending it. Opening WhatsApp does not establish that a message was sent or received.

Direct enquiries to the relevant team if you operate several locations. Explain remote delivery before the contact button if the service is online. Keep health information, identity documents, personal email addresses and other unnecessary details out of link URLs.

3. Check availability and record a request

Booking needs rules for service duration, staff, location, available hours and changes. A form may collect a preferred time without holding it in a calendar. If that is your workflow, show “Request received, awaiting confirmation” and explain how the team will respond.

If the integration does reserve a slot, test what happens when two visitors choose it at the same time. Availability must be checked when saving, not only when the page opens. Give requests identifiers and handle repeated submissions so that another click does not create another appointment.

4. Confirm the appointment and arrange follow-up

If a deposit is required, define who checks payment status and when the appointment becomes confirmed. A customer-supplied screenshot and a payment-provider confirmation are different forms of evidence. Make any human review step explicit.

After the service, follow-up might involve care instructions, feedback or a future visit, depending on the service and agreed permissions. Our retention versus acquisition guide explores the return journey. Your website does not need to run every process on day one; it does need to show where each process continues.

A WhatsApp link, an external calendar or a custom system?

Choose around the rules and systems your team already uses. Building a custom calendar is not always the first step. An AI agent is also optional: a clear website and a dependable manual process can provide a useful starting point.

Three starting points with different responsibilities
ApproachWhat it handlesWhat you must define
Website and manual WhatsApp repliesPresent services and start contextual enquiries.Owner, response hours and a record of open requests.
Website and external booking platformTake visitors to an existing booking system.Live availability, rules, confirmations and measurement continuity.
Website and connected custom calendarAdapt requests, statuses and a team dashboard to the business.Access, maintenance, concurrent requests, payments and data responsibilities.

An AI agent using the official WhatsApp platform can be added when the rules and required integrations are ready. A contact button alone is not that integration. The guide to WhatsApp AI agents for small businesses helps distinguish those scopes.

A documented distinction: a request is not a confirmation

The El Mago del Color website case study documents a salon website with booking and loyalty features. Its Android app illustrates an important distinction: saving a request and continuing through WhatsApp does not, by itself, confirm the appointment. The deposit and confirmation follow their own review.

Another business can apply that distinction without copying the salon's loyalty programme or service conditions. Brand voice, operating rules and assessment requirements belong to each business. A service that needs a consultation first should make that step visible instead of offering an immediate confirmed booking.

Connect local discovery with the relevant service page

When someone finds you through Google Maps, Instagram or a campaign, send them to the service they were considering. Routing every link to the homepage makes visitors search again. A hair-colour assessment campaign, for example, can lead to the assessment page and then to an enquiry that names that service.

Google supports business action links, including appointments and reservations. Check the options available on your Business Profile and use a destination that supports the stated action. Your booking link and main website link may serve different purposes.

For local services, keep city, location or service area, opening hours and visit arrangements consistent. Say when visits require an appointment. In Bogotá, that means answering real questions about the service location and how to attend, rather than repeating neighbourhood names across near-identical pages.

For international enquiries, explain service language, time zone and remote or in-person delivery. If you offer more than one language, translate the whole decision and booking journey, including confirmation instructions. An English headline followed by untranslated service conditions leaves the visitor with work still to do. The workflow can be used internationally without implying that a Bogotá-based business has offices abroad.

A click to WhatsApp is not a booking

Separate expressions of interest from operational outcomes. A report may contain many clicks to WhatsApp and few confirmed appointments. To understand that gap, review messages, replies, availability and confirmation. Changing the button alone cannot tell you which step failed.

Evidence before attribution

Measure what actually happened

  1. Contact click

    Someone clicked the website link.

Not evidence of a sent message.

  2. Received enquiry

A message arrived in the business channel.

Not a booking request by default.

  3. Recorded request

A service and preferred time were registered.

    Not necessarily confirmed availability.

  4. Confirmed appointment

The agreed availability and conditions were verified.

Not evidence that the customer attended.

  5. Completed service

    The operational record confirms attendance.

Revenue and return visits need their own records.

Definitions for a measurement plan, not performance figures or a real analytics dashboard.

Google Analytics documents outbound click measurement through enhanced measurement. It needs configuration and does not, by itself, record what happens inside WhatsApp. Check your events, applicable consent settings and exclusions before interpreting a report.

Start by recording service-page visits, contact clicks, received enquiries, booking requests and confirmed appointments separately. Record a date, a source when known and an owner. Keep conversation contents and personal data out of analytics. When you cannot connect an appointment to its website visit, leave the source unknown rather than assigning it to a campaign because the dates are close.

Test the journey before seeking more visitors

Use a phone without your administrator session and follow the path as a new customer. This is not a substitute for full technical testing, but it can reveal steps that a visual review misses.

  1. Open the link from a discovery channel and check that it explains the intended service.
  2. Check that the button is readable, usable and clear of notices or floating controls.
  3. Verify the WhatsApp number and prepared message. Identify any test enquiry as a test.
  4. Request a time and check whether it becomes pending, held or confirmed under your rules.
  5. Test an unavailable slot and a repeat submission.
  6. If deposits apply, test approved and pending payments in the provider's test environment without real charges.
  7. Check that the team can find the record and continue the conversation.
  8. Review which events appear in analytics and which require operational evidence.

Build the connection your business needs now

Begin with a clear service page, the right contact destination and a way to track outstanding requests. Expand the integration when you can explain which problem it solves and who will maintain it. That gives you a practical basis for judging a website alongside its visual design.

MD's website design and development services cover the site and the connections agreed for each project. To organise the journey from visit to enquiry and appointment, tell us how your business works today. We can then identify what to connect first and where human attention remains part of the process.

Frequently asked questions

Connecting the booking journey

  • Do I need the WhatsApp API to connect my website?

A contact link can open a conversation without an API integration. If an agent needs to read records, create requests or perform actions, those connections must be scoped and tested separately.

  • Does a website request confirm an appointment?

That depends on the calendar workflow. A form may collect a preferred time without reserving it. Explain whether a request remains pending and which conditions must be met before confirmation.

  • Can I keep my existing booking platform?

Possibly. Check its booking links, permissions, API access and rules first. An external booking link should not be described as a complete synchronisation with the website.

  • Can I start with manual replies?

Yes. A clear service page, contextual contact link and an owner for outstanding requests can be a useful first stage. Add automation when its rules and supporting systems are defined.
