An enquiry, a website booking request and an appointment can belong to the same client relationship while remaining scattered across tools. For El Mago del Color in Bogotá, we developed Cabina Conectada: an operations panel that brings salon information together and helps the team act with context.
The project connects scheduling, booking requests, conversations and service configuration. Cabina gives the team a working interface, while the website, app and Luna assistants retain their roles within the ecosystem.
Appointments and website requests with distinct states
The daily view and weekly calendar show appointments by date and professional. The team can create, edit and cancel operational appointment records in Firebase Realtime Database. Cancelling an appointment preserves its record in the history.
Website requests are read from Cloud Firestore and have their own tracking: pending a deposit, confirmed, cancelled or marked as converted to an appointment. A website request and an operational appointment are separate records. The panel supports reviewing their status and continuing coordination; marking a deposit as received is a team action, not automatic bank-payment verification.
Conversations and human handover in one inbox
The inbox brings together WhatsApp and Instagram conversations with contact history and context. The team can prepare a reply, request an AI text suggestion and send a message through the relevant channel.
The implementation records human intervention and pauses Luna in that conversation after a successful manual send. The team can also explicitly pause or reactivate the AI agent. Sending depends on credentials, permissions and channel conditions; having an inbox does not remove those requirements or guarantee delivery.
Service information shared with operations
The panel includes editing for the service catalogue and configuration documents such as brand identity, policies, preparation and frequently asked questions. Information is stored in Firestore, and the reading layer combines those documents with fallback values when needed.
This helps organise business knowledge without changing code for every catalogue adjustment. Connected modules must consult the relevant source to pick up changes. Cabina is not described as a read-only tool: it combines information views with administrative actions that update records and configuration.
AI guidance and team-controlled follow-up
The guidance form collects the current hair condition, desired outcome, length and chemical history. Gemini uses that written information alongside the catalogue, policies and preparation guidance to suggest a service, precautions and a conversation summary. The professional remains responsible for technical assessment and service decisions. The reviewed form uses written input; it is not presented as a photo-based diagnosis.
Quotation and follow-up tools help the team prepare its response. The campaign module supports selecting segments, previewing messages and recording send-attempt results. Having automation definitions in the project does not establish that every workflow is active: activation and messaging conditions need their own validation.
Client profiles, repeat visits and meaningful indicators
The contact view combines profile information, conversations and appointments, using the phone number as a link. Commercial follow-up organises recorded visits, time since the last service and criteria for preparing a return visit. Its usefulness depends on the quality and continuity of the available data.
The dashboard calculates amounts and averages from appointment states and recorded costs. It is an operational view rather than an accounting reconciliation. The implementation groups cancellations and missed appointments in one indicator; this case does not present it as an audited no-show rate. Similarly, observed spending over a period is not the same as a client’s complete lifetime value.
Architecture and the development outcome
Cabina Conectada combines Next.js, TypeScript, Firebase and Gemini, with connectors for the WhatsApp and Instagram APIs. The project also includes Inngest workflow definitions and business rules. Access to the operational area requires authentication. The review on 23 October 2026 confirmed the deployment and redirect to sign-in, without accessing client accounts or performing production actions.
The development outcome is a workspace that connects team information and actions through shared sources. We do not attribute an isolated commercial improvement to Cabina without a specific measurement. The integrated El Mago del Color case study explains authorised historical results for the complete system.
